Email tips to comply with the new Mandatory Company Trading Disclosure
From the 1st October 2008, in addition to displaying your company name and address on your web site and emails, you also need to display your company’s registered number. You do not have to add the information on every page of your web site, but place this information so that it can be easily found and read. Additional details can be found on www.businesslink.gov.uk.
The easiest way to include your company details in every email is to use a ‘signature’. The email software adds the signature to every email you create. A signature can also be added when you reply or forward an email. The recipient has your telephone, fax, address and web site address etc. right there, so when they want to get in contact with you they don't have to hunt around for it. Just think of the sales you could be losing because they don't have your phone number to ask a simple question. You can include an advert for your product or service, or details of a special offer with a link to your web site.
Make sure the “from name” says something sensible like “Emerald/Linda Williams”. That way, the recipient can see straight away who the email is from.
To ensure your emails are not blocked by anti-spam (unsolicited email that’s been sent in bulk) software, it is worth including a message “To ensure receipt of our emails, please add info@emeraldcs.com to your Address Book”. Include your email address and add the message to your email signature.
